Dealership BDC outsourcing means a specialist team runs your business development centre: it calls new enquiries within minutes, qualifies buyers, books showroom visits and test drives, and follows up cold leads inside your CRM. For Indian car dealers and used-car platforms, it works when speed, calling compliance and the hand-off to sales are written down.
Most dealerships do not have a lead problem; they have a lead-handling problem. Enquiries arrive from the website, marketplaces, social ads, walk-in follow-ups and exchange offers, often at evenings and weekends when the showroom team is busy with customers in front of them. A buyer who fills in a form and hears nothing usually keeps browsing. This guide explains what a BDC does, how an outsourced BDC fits into car dealership lead management, a practical process for used-car lead follow-up, the calling rules that apply in India, and the metrics worth tracking. For our wider work in the sector, see the automotive segments we serve.
1. What a Dealership BDC Does
A business development centre (BDC) separates lead work from floor work. Sales consultants spend their time with buyers in the showroom; the BDC makes sure every enquiry is answered, qualified and turned into an appointment, or recorded with a reason why not. Dealers run BDCs in-house, outsource them, or split the work. The table shows the typical functions and what an outsourced team does in each.
| BDC function | What the outsourced team does | Dealer sets |
|---|---|---|
| New enquiry response | Calls web, app and marketplace leads as they arrive; confirms the car and contact details | Response-time target and contact hours |
| Qualification | Checks interest, budget, timeframe to buy and loan requirement | What counts as a qualified buyer |
| Appointments | Books showroom visits and test drives onto sales managers' calendars, then confirms them | Slots, locations and who receives each booking |
| Follow-up | Recontacts not-ready and cold leads, expired listings and past customers, within calling rules | Cadence and when a lead is closed out |
| Post-sale coordination | Delivery updates and confirmations, post-sale survey calls | Scripts and escalation for complaints |
| Closing (optional) | Where the business needs it, manages the sales cycle through to closing | Pricing authority, offers and finance partners |
2. Why Lead Handling Matters More Than Ever
The used-car side of the business is where lead volume is growing. According to the 7th edition of the Indian Blue Book (release dated November 13, 2025), India's pre-owned car market reached 5.9 million units in FY24-25 and is projected to grow at a 10% CAGR to 9.5 million units by 2030. The same release says exchanges from new-car dealerships make up 41% of dealers' used-car procurement, and that over 70% of customers surveyed believe organised dealers provide superior service.
Two conclusions follow, in our view. First, a new-car dealer's BDC handles two kinds of leads at once: buyers of new cars and owners of the cars they will trade in, so exchange enquiries deserve their own script. Second, organised dealers and platforms compete on service, and the first phone call is the first piece of service a buyer experiences. For more on the market itself, read our report on India's used car market in 2026.
3. A Car Dealership Lead Management Process That Works
Whether the BDC is in-house or outsourced, the same sequence decides whether a lead becomes a visit. The goal is that no enquiry waits in an inbox and no outcome goes unrecorded.
Capture and route automatically
Every lead source, from your website and app to marketplace feeds, posts into one CRM. A webhook routes each new lead to an available agent the moment it arrives, so nobody has to check an inbox.
Call within minutes
The first call happens while the buyer still remembers the car. Use local-presence numbers where permitted and the correct calling series, and log every attempt.
Qualify on four points
Confirm interest in the specific car or model, budget, timeframe to buy and whether a loan is needed. Capture loan requirements for your team; agents do not give financing advice.
Book the visit or test drive
Put the appointment straight onto the right sales manager's calendar, with the qualification notes, and send a confirmation to the buyer.
Confirm and remind
A reminder call or message before the slot reduces no-shows. If the buyer cannot come, rebook on the same call.
Close the loop
Record the outcome of every lead: visited, bought, not ready (with a follow-up date) or lost (with a reason). That record is what lets marketing judge which sources produce sales.
Staff for when buyers enquire, not for office hours
Car buyers browse in the evening and visit at weekends. A BDC that closes at 6 pm leaves its best leads waiting overnight. Match BDC shifts to your enquiry pattern and showroom hours.

4. Used-Car Lead Follow-Up: Buyers and Sellers
Used-car platforms and pre-owned dealers handle two different leads, and they need different conversations.
Buyer leads
Call about the specific listing, confirm it is still the right car, check budget, timing and finance need, and book a visit or test drive. If that car has sold, offer close alternatives in the same call.
Seller leads
Confirm the car's details and the owner's timeline, explain the inspection and valuation steps, and book an inspection slot. Set expectations clearly about how the offer is made.
Not ready yet
Record why and when to call back. A buyer waiting for a bonus or a loan approval is a future sale, not a lost lead.
Expired listings and old enquiries
A planned recontact campaign, within calling rules and consent, often finds buyers and sellers who are still in the market.
Seller conversations go better when the agent understands what an owner worries about: valuation, paperwork and a safe ownership transfer. Our consumer guides on how to sell a used car online in India and on selling to a marketplace rather than a local vendor cover the questions sellers ask most, and are useful training material for a seller-lead script.
5. Calling Rules for Automotive Call Centre Services in India
Automotive call centre services in India operate under TRAI's Telecom Commercial Communications Customer Preference Regulations (TCCCPR), 2018. Two official releases set out the current position. This is a summary for planning, not legal advice.
- 140 series for promotional calls. TRAI has mandated 140xx numbers for promotional calls by entities of any sector; senders must register with telecom service providers, and customers can block promotional calls by sector on the DND registry (TRAI clarification, July 10, 2026).
- No ordinary 10-digit numbers for telemarketing. The February 12, 2025 amendment restricts senders from using normal 10-digit numbers for telemarketing, so commercial calls come from designated series (PIB, TRAI amends TCCCPR).
- Consent has limits. The same release says consent given for completing an ongoing transaction is valid only for 7 days, and a sender may not seek fresh consent from a customer who has opted out until 90 days after the opt-out.
- Auto-dialers must be disclosed. The amendment brings in disclosure of the use of auto-dialers and robo-calls.
- Repeat violations are costly. According to the release, a sender's telecom resources can be barred for 15 days on a first violation of the threshold, and disconnected and blacklisted for a year on subsequent violations.
Ask how lists are filtered against DND preferences, which number series are used for which calls, how opt-outs are recorded, and whether the vendor's telemarketing registration is current. A vendor whose numbers are barred stops your BDC overnight.

7. How Infusion BI Runs an Outsourced BDC
Infusion Business Intelligence runs dedicated SDR and customer experience pods for online used-car marketplaces, AutoTech platforms and dealership groups from New Delhi and Haldwani. Depending on what the business needs, a pod can handle first contact, qualification and appointment booking, or manage the sales cycle end to end.
- Speed to contact: inbound buyer leads contacted under a 5-minute speed-to-contact SLA, triggered by CRM webhooks that route each new lead to an available agent.
- Your systems: the pod works inside HubSpot, Salesforce or your custom dealer portal, connected to cloud telephony, with every dial, contact and appointment logged.
- Hours and languages: evening and weekend coverage aligned to dealership hours, in English, Hindi, Punjabi, Tamil, Gujarati and Telugu.
- Compliance: lists filtered against NDNC/DNC registers, no purchased lists without validation, and our TRAI telemarketing registration is current.
- Payments and finance: card payments, such as a booking amount, are taken only inside your own payment systems and never recorded elsewhere. Loan requirements are captured for your team; no financing advice is given.
- Pod and quality: SDR and CX agents plus a team lead and a QA analyst; calls scored on accuracy, compliance, outcome, customer experience and process adherence.
- Terms: per dedicated FTE per month (no pay-per-appointment pricing), a 3-month initial term as the pilot with 3 to 5 success metrics, and SDR onboarding in 3 to 4 weeks.
In our AutoTech case study, dedicated SDR squads for online used-car marketplaces contacted prospects within 5 minutes of form submission and reported a 240% increase in qualified showroom visits with a 95%+ CSAT rating. Those figures describe that engagement; your pilot SOW sets the metrics your own programme is measured on. Read more about our outbound calling and appointment setting services.

Conclusion
A dealership BDC turns enquiries into appointments by doing simple things consistently: calling within minutes, qualifying on the same four points every time, booking straight onto the sales calendar, following up the leads that are not ready, and recording every outcome. Outsourcing the BDC gives dealers and used-car platforms that consistency at evenings and weekends, provided the partner works inside their CRM and within TRAI's calling rules.
Start with one lead source or one shift and measure the funnel honestly. When you are ready, request a pilot or contact our team.
